When the card reader gets stuck

A phone screen closes mid-charge and the reader keeps waiting. Now PlazaStack shows the sale it is on and lets you resume, cancel, or free it.

It is a busy afternoon. You start a charge on your phone, the customer reaches for their card, and then the phone screen goes dark. Maybe it timed out. Maybe someone pressed the wrong button. Maybe a call came in. When you open the app again, the reader is still sitting there, waiting on a sale you can no longer see.

Anyone who has taken card payments at a counter has been here. The reader is not broken. It is just loyal to a sale that nobody is looking at.

We changed how the charge screen handles this.

What used to happen

A card reader works on one sale at a time. When you start a charge, the reader is told to wait for a card for that amount. If the screen that started the charge disappears, the reader does not know. It keeps waiting.

The usual fix with card readers in general is to restart the reader, or to wait for it to give up on its own. Neither is good when there is a line.

What happens now

When you open the charge screen, it checks the reader. If the reader is still tied to an earlier sale, the screen tells you. What you see depends on what the reader is doing:

  • The reader is on one of your own sales. The screen says which one, with the order number and the amount. You can choose View the charge to pick up where you left off and finish the sale. That is the right choice when the customer is still standing there with their card out. Or choose Cancel that charge when the customer changed their mind or walked away.
  • The reader is busy with something else. The screen offers Free the reader, which releases it without restarting it, so you can start a new charge right away.
  • The app could not check the reader. The screen offers Try again or Free the reader.

You do not have to unplug anything or restart the reader. And you always see what you are deciding about, rather than guessing.

Unfinished charges are listed

A charge that was started and never finished can be easy to lose track of. Now unfinished charges appear in a list, so nothing sits in a pending state out of sight.

Each row has Send again and Cancel. Cancel asks you to confirm first, so a stray tap does not drop a sale. At the end of a shift, you can look at that list and settle each one. Either it was completed, or it was canceled. Either way, it is not left hanging in your records.

This helps with a question that comes up often: “Did that customer actually get charged?” The list gives you a clear place to look.

Two phones, one reader

Many shops have more than one phone or tablet at the counter. One person is at the register, another is in the back with a customer who wants to pay on the spot.

If two people try to use the same reader at the same moment, they could step on each other’s sale. A charge started on one phone could replace the charge on the other.

The charge screen now prevents that. If the reader is already working on a sale, the second phone is told so, and shown which sale it is. It cannot take over the reader quietly. The person who started the sale finishes it, or someone makes a clear choice to cancel that charge.

A quick checklist for a stuck reader

If the reader seems stuck, this is the order that works:

  1. Open the charge screen. Read what it says about the reader.
  2. If it is on one of your sales and the customer is still there, choose View the charge and finish it.
  3. If the customer is gone, choose Cancel that charge.
  4. If the reader is busy with something else, choose Free the reader. If the app could not check, choose Try again first, then Free the reader if needed.
  5. Start the new charge.
  6. Later, look at the unfinished charges list and make sure it is empty.

Why we care about the small things

A card reader is not the interesting part of running a shop. It should work, and when it does not, getting back to work should take seconds. Most of what slows a counter down is small: a screen that closed, a sale nobody remembers starting, a reader that will not let go.

Fixing those small things is a large part of what we are doing on PlazaStack right now.
